Privacy notice
This notice explains what personal information North Refrigeration Services Ltd collects through this website and when you contact us, why we use it, and the rights you have.
Who we are
North Refrigeration Services Ltd is the data controller for the information described here. We are registered in England and Wales, company number 14898932, with our registered office at 42 Denyer House, Highgate Road, London NW5 1BN.
For any question about your information, email info@north-refrigeration.co.uk or call 07939 947556.
What we collect
When you use our enquiry form, email or call us, we collect the details you give us. This usually includes:
- your name, business name, email address and phone number
- the site address and details about your equipment or the problem
- anything else you choose to include in your message
If you become a customer, we also keep the records needed to do the work and run our business, such as quotes, service reports, invoices and F-Gas records for your equipment.
How we use it
- to reply to your enquiry and prepare a quote
- to arrange visits and carry out work for you
- to keep the service, refrigerant and safety records the law requires
- to send invoices and manage our accounts
We do not sell your information, and we do not use it for marketing lists.
Our lawful basis
We use your information because it is needed to respond to your request and to enter into or carry out a contract with you, because we have a legitimate interest in running our business and replying to enquiries, and, for some records such as F-Gas and accounting records, because the law requires us to keep them.
Who we share it with
We only share your information with organisations that help us run the business, and only as much as they need:
- our website host and our form service (Web3Forms), which passes enquiry form submissions to our email
- our email and IT providers
- our accountants, and HMRC where the law requires
- manufacturers or suppliers, where needed for warranty claims or parts
Some of these providers may store data outside the UK. Where they do, they use legal safeguards approved under UK data protection law.
How long we keep it
- Enquiries that do not lead to work: up to 12 months.
- Customer and job records, including invoices: 6 years after the end of the financial year, as required for tax purposes.
- F-Gas and equipment records: for as long as the law requires for that equipment.
Cookies
This website does not use advertising or tracking cookies. To display our fonts, your browser loads them from Google Fonts, which means Google receives your IP address as part of that request.
Your rights
You have the right to ask for a copy of the information we hold about you, and to ask us to correct it, delete it, restrict how we use it or object to our use of it. Some records must be kept by law, and we will explain if that applies. To make a request, contact us using the details above. We will reply within one month.
Complaints
If you are unhappy with how we have handled your information, please contact us first so we can put it right. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
